East Riding Council’s Road Safety team works with schools across the county, delivering a wide range of courses, training and safety presentations to thousands of children each year.
From cycle training and Bikeability, to pedestrian and scooter safety, their mission is to help children across East Yorkshire to stay safe on the region’s busy roads.
With a dedicated team of 10 instructors, the Road Safety division has a hectic schedule, supporting almost 100 schools around the region.
With so many schools and a range of different courses, organising the team is a challenging task! Scheduling the coaching team and arranging the courses takes a lot of organisation and admin effort – made even more complex when it came to communicating changes to the team.
As a council organisation working with children, the Road Safety team has to keep a huge amount of data, and provides regular reports back to stakeholders for funding. At the same time, they also have to ensure that all the coaches are up to date with their safeguarding and professional qualifications.
The whole process had become a huge administrative burden. Managing it manually, on a combination of spreadsheets, word documents, emails, letters and reports across multiple systems simply wasn’t fit for purpose.
In 2017, the management team went looking for a better solution. Initially, they found that most packages on the market were either too expensive, or didn’t have the functionality they needed.
Finally, they discovered Coordinate, and it’s revolutionised the way they organise the business. Now, they organise and manage everything from a single platform – from the staff scheduling and forward planning, through the professional certifications and reporting, right down to managing staff uniforms.
It’s made a huge difference, slashing time spent on admin by 45%. Paperwork is reduced, recordkeeping is improved, and the team always know where they need to be. The result is less confusion, increased efficiency and real cost savings – to the tune of thousands of pounds each year.
The Road Safety team are always looking for new ways to use Coordinate – and have plans to roll it out further over the coming year.
From payments and invoicing, to providing schools with access so they can book courses directly, they’re using Coordinate to streamline processes and cut admin across the organisation.
